About The Role

You will play a pivotal role within a close-knit team dedicated to supporting various multidiscipline rail infrastructure projects. Your responsibilities primarily revolve around the efficient management of project documentation, ensuring compliance, and safeguarding information security. This role demands meticulous attention to detail, strong organisational skills, and the ability to collaborate effectively with project teams, stakeholders, and clients.   You will ensure that project documentation is well-maintained, secure, and compliant, ultimately contributing to the efficient execution and closure of projects. Your leadership, communication, and information management skills will be instrumental in the team's success. This role offers a unique opportunity to be part of a dynamic and collaborative environment within the rail infrastructure industry.


 

Key Responsibilities:

  • Team Support: You will be an experienced professional assisting in the daily management of project documentation, ensuring its accuracy and completeness. This role involves mentoring and guiding assistant Information Controllers and apprentices within the team.
  • Information Management: Your responsibilities include receiving, validating, managing, and securely storing both digital and hard copy information throughout all project stages. This will encompass maintaining document registers and implementing an Electronic Document Management System (EDMS) to ensure that all relevant information is well-organized and easily accessible.
  • Reporting and Compliance: You will be responsible for generating timely reports on managed project information, including key metrics and forecasts. Collaborating with project teams to enhance metrics and ensure compliance with document control processes is an essential part of this role. Additionally, you will monitor and address any non-compliance issues, assisting with an annual assurance plan.
  • Communication and Collaboration: Effective communication is crucial. You'll be expected to liaise with various organizations, including sponsors, contractors, and subcontractors. Being the second line of contact for Document Control-related issues means you'll provide clarification, mediation, and technical expertise regarding EDMS.
  • Project Closure: As projects conclude, you'll play a crucial role in ensuring the proper handover of information to the client. This includes the Health and Safety file and supporting the future management of the asset, aligning with project timelines and quality requirements.
  • Training and Continuous Improvement: Assisting the Information Manager in delivering training on information management and work instructions to all stakeholders is another key aspect of this role. You will also contribute to the development and implementation of a continuous improvement plan to enhance information control processes.
  • Project Start-up Meetings: Attending project start-up meetings to discuss Document Control procedures and systems is vital for ensuring project teams are well-informed and aligned.
  • Miscellaneous Tasks: You may be required to handle other office administrative tasks as needed to support the efficient operation of the team.

Essentials:

  • Relevant experience in information management, document control, or a related field.
  • Experience with Electronic Document Management Systems (EDMS) and information security protocols.
  • Strong organisational and multitasking skills.
  • Excellent communication and collaboration abilities.
  • Attention to detail and commitment to compliance.
  • Leadership and mentoring skills.

Desirable:

  • Knowledge of rail infrastructure projects is a plus.
  • Familiarity with AssetWise or ProjectWise
